Vendor Rules and Requirements

Important Deadlines

August 31, 2026:  Vendor Application Due

September 12, 2026:  Approved vendor emails sent out

  • If any spots remain, we will keep applications open for a second round. 
  • If accepted, you will receive an email with a contract and link to pay the booth fee.

    October  15, 2026:  Signed contract and booth fees deadline

    • There are no exceptions for late payments.  If we do not receive your payment or a notification by October 15, 2026, we will assume you have forfeited your space and will offer it to another vendor.

    January 1, 2027:  CANCELLATION  DEADLINE

    January 8, 2027:  Texas State Sales Tax Permits due

    Cancellation Policy

    Cancellation notifications must be sent via email to PineyWoodsFiberFest@gmail.com

    • On or before January 1, 2027:  Refund of all fees less an administration fee of $25 for each 10’x10’ space rented($25 for a Single, $50 for a Double, $75 for a Triple, $100 for a Quad, etc.).
    • After January 1, 2027:  Unfortunately, we're unable to provide refunds after the deadline.
    • In the event of cancellation, Piney Woods Fiber Fest reserves the right to use canceled booth space for its own convenience, including selling the space to another vendor, without rebate or allowance to the canceling vendor.  
    • The canceling vendor may not give their booth space to someone else.

    Market Dates

    Vendor Load-In: Thursday March 4, 2027 - 9am - 6pm

    ·       Please unload and remove your vehicle as soon as possible so that others may do the same.

    ·       We will have access to the loading dock doors for your convenience.

    Marketplace Hours:

    • Friday March 5, 2027 - 9am - 5pm 
    • Saturday March 6, 2027 - 9am - 4pm (Restocking 8am-9am)

    Vendor Tear Down: Saturday March 6, 2027 - 4pm - 7pm

    • Vendors may not begin breaking down until 4pm & must be out of the building by 7pm.  Please do not bring your vehicle close to the building till you are ready to load. No vehicles will be allowed to enter the load out areas before 4:00pm Saturday.

    Vendors & Trailer Parking must be in one of the side lots to the left/right of the civic center during market hours on both Friday and Saturday. We want to leave space close to the building for customers, yarn truck(s), and a food vendor.  If an area is marked no parking please do not park there.  

    Demonstrations

    • Vendors may demonstrate products they have for sale in their booth.  Such demonstrations must remain within the vendor’s allotted booth space.
    • Vendors wishing to demonstrate a product or technique for the public may contact us later in the year for information about scheduling a demo in our lounge area.
    • Classes are not allowed in the vendor area without the express written permission from Piney Woods Fiber Fest. 

    Booth Fees

    (some booth spaces may be larger than listed below)

    • $200 – Single – 10’x10’ (Includes 1 table and 2 chairs)
    • $350 – Double – 10’x20’ (Includes 2 tables and 4 chairs)
    • $550 – Triple – 10’x30’ (Includes 3 tables and 4 chairs)
    • $700 – Quad – 10’x40’ (Includes 4 tables and 4 chairs)

    Endcap Options:

    • $400 – Double Endcap – 10’x20’ open on 3 sides (Includes 2 tables and 4 chairs)
    • $750 – Quad Endcap – 20’x20’ open on 3 sides (Includes 4 tables and 4 chairs)

    Extras:

    • $25 – Corner Add-on – Creates 1 extra open side for 10’x10’ space
    • $10 – Extra table
    • $5 – Extra Chair

    Fiber Truck:

    • $300 – Fiber Truck – 15’x30’ (may require extra fees for overnight stays for RV hookups and electric)

    Booth Space

    • Vendor booths do not come with signage or fixtures. There will be no pipe-and-drape at individual booths. If your display requires a means of separation between your neighbors, you must provide your own. While the area is well lit with overhead LEDs, you may consider bringing additional ambient lighting if you’d like.
    • Any tables provided will also be uncovered, so please bring your own table coverings.
    • Each booth space includes: Cement floor and reasonable access to electrical outlets, (bring extension cord). You may not nail, tape, stick, staple or hang anything on the wall, columns, or ceiling.
    • Vendors will not be allowed to expand outside their assigned booth space into the walkways.  All display fixtures, merchandise, and chairs must be contained within the outer boundary of your booth.
    • WIFI information will be provided at or prior to the event date
    • Fire Marshal regulation regarding easy up type tents. You cannot put the top on.

    What kind of vendors are we looking for?

    ·        We are looking for a variety of vendors and makers specializing in all the fiber arts.

    ·        Examples include but are not limited to: yarn making, yarn dyeing, knitting, crochet, spinning, weaving, needlepoint, quilting, tools, bags, accessories, handmade home goods, local eats, and more!

    ·        We are working hard to provide a diverse and artful selection of vendors that will create a joyful experience for all of our attendees.

    ·        Sales and show specials are allowed, but we strongly discourage deep discounting. Our show is not an appropriate place to liquidate your clearance bin.  If any vendor ignores this suggestion, it may affect whether that vendor is invited to return the following year.

    ·        If you wish to share a booth with another vendor, you must both apply separately.  You both need to mention the other in your application.

    Vendor Door Prizes

    • Vendors are required to provide one door prize - $25 gift certificate.  These prizes create excitement for attendees and are distributed during various events throughout the weekend, including activities in the Market & classroom sessions. 

    Here’s how the process works:

    • Door Prize Vouchers – Piney Woods Fiber Fest will create a voucher with your business name.  The voucher will be given to a winner sometime during the event weekend.
    • Winner Visits Your Booth - Winner may use the Door Prize Voucher as a $25 credit toward the purchase of items in your booth.  If the item(s) is marked for more than $25, the winner will pay the difference to the vendor.  If the item is less than $25, the winner does not receive any cash for the difference.  Remember to take the voucher from the winner and mark as VOID/USED to avoid confusion on whether or not that voucher has been redeemed. 

    Sales Tax

    Each vendor will be responsible for collecting and remitting sales tax per Texas state law.  Current Sales Tax rate for this location is 8.25%

    Insurance

    Vendors are required to maintain event insurance for Piney Woods Fiber Fest.  Please be prepared to provide your Certificate of Insurance for both your business and any motor vehicles/trailers you bring on the property.
